We are writing to inform you of a known issue with retroactive adjustments to legacy payroll that may require some departments to take action.

Issue Overview:                                                                                                                                                             

The UCPath payroll team is processing retroactive adjustments for legacy payroll (covering 2022–2025). These adjustments often include union updates, retirement Defined Contribution Plan (DCP), and federal tax (FICA) corrections.

Because these transactions use legacy chartstrings that predate our July 1, 2025, transition to the Common Chart of Accounts (CCOA), they cannot post directly to our current financial system.

How This Affects You:

While the central finance team is manually "crosswalking" this data to ensure accuracy, some transactions may not have a direct match (e.g., sponsored projects or funds that are closed, have been reallocated, or were not converted). In these cases:

  • The transaction FRU was converted from the legacy account to use fund 13001 Other Unrestricted Funds
  • Action Required: Departments must review these entries and process a manual journal entry to move the expenses to the appropriate current chartstring

We are continuing to mitigate these legacy data challenges manually to minimize campus impact. Please monitor your payroll expenses for these retroactive postings.
