We are pleased to announce a series of important updates, bug fixes, and feature enhancements for the Transfer of Expense (TOE) system.

As a reminder, the TOE system is currently offline for fiscal close. These new features and fixes will officially go live when the system is restored on Monday, July 20.

What's changing?

While several of these updates resolve underlying technical bugs to ensure a smoother, more reliable user experience, a few of them introduce brand-new functionality to optimize your workflow:

  • Mass Transfers: This feature allows you to copy a target CCOA and paste it across multiple related transaction lines simultaneously (i.e. multiple lines for the same Concur report or a Gateway invoice). Note: The Account segment from the source CCOA can not be changed.
  • Expanded Search Filters: Additional search and filtering options have been added to the TOE header to help you locate specific transactions more efficiently.
  • Two-Fiscal-Year Limit: Transactions available for TOE, with the exception of those charged to a project, will now be restricted to the current and previous fiscal year. While the “Expenditure Date” can be from the Project Inception to Date, the expense must have been posted to the General Ledger within the current or prior fiscal year.
  • Enhanced Attribute Visibility: Additional source transaction attributes, including a student’s perm number on transactions with BARC as the source, are now visible to provide better context. Additional information can also be found for Recharge and Payable transaction sources.
  • Preparer-to-Approver Fix: Resolved a routing bug where the TOE would fail to display properly when a Preparer was elevated to an Approver role.

Training & Support

To help you navigate these new workflows, we have created Quick Reference Guides to walk users through the changes. We highly recommend reviewing these materials before processing your first mass transfer.

If you have any questions or encounter any issues following the July 20 release, please submit a ticket through the FMM Universal Request form or reach out to the TOE Community of Practice Google Chat space.
