In preparation for the upcoming Financial Management Modernization (FMM) transition, we suggest that departments initiate the Summer Salary process earlier this year. This proactive approach will help to ensure that UCPath entries, specifically for summer salary paid on extramural awards*, are processed prior to key UCPath cutoff dates. This will allow for accurate conversion of chart strings during the July cutover and prevent any issues with late or missed pay for faculty members across campus. Any summer salary entries entered after cutover will require accurate translation for project-based funding strings and entry of the future state Common Chart of Accounts (CCOA) string.
*It is recommended that summer salary entries in UCPath be delayed until post go-live for funding strings without a direct mapping to future state projects. These include faculty start-up, faculty retention, as well as faculty funds projects housed in non-GUS departments. If entries are performed prior to cutover, chartstrings for these projects will not successfully convert and may require salary cost transfers.
We are reaching out to provide the following key dates and guidance for your planning. Please note that departments should continue to hold off on performing summer salary transactions for faculty who are undergoing merit review in this cycle, as it may result in having to re-enter the transaction in UCPath.
Key Dates:
- UCPath Funding Entries Cutoff Date: All summer salary entries must be submitted and approved by Tuesday, June 17, 2025 to ensure they are processed and converted during the FMM transition.
- Salary Cap/Multiple Components of Pay Worksheet (MCOP) Available After July 7: MCOP worksheets entered in UCPath prior to cutover will not be converted into the new UCPath environment. All MCOP worksheets will need to be re-entered after Monday, July 7.
Key Actions:
- Summer Salary Form: To help facilitate and streamline the summer salary process, Academic Departments who have signed up* may utilize the updated Summer Salary form. This form reduces the volume of emails received by staff and faculty, streamlining communication and eliminating duplication of Summer Salary Requests while promoting consistency and clarity through the division. (*Note: If your Academic Department is not signed up to use the Summer Salary form and wishes to do so, please contact Daniela Navin at navin@research.edu.)
We encourage all departments to begin coordinating now to meet these deadlines as noted in the FMM Cutover calendar, as earlier submissions will support a smoother conversion and transition process.
If you have questions about the summer salary process, please contact inquiry@ap.ucsb.edu. For questions related to the new CCOA, FMM cutover, MCOP, or other impacts to this process as a result of FMM, please submit a ticket to the BFS Payroll team.
